REQUEST FOR A TENDER We hereby ask for an offer regarding fiducial markers (seeds and/or wires) to be used in prostate and pelvic areas for localization of the target in image guided radiotherapy in linear accelerators with kV and CBCT imaging. In some cases we also use only MRI simulation for prostate patients and markers that can be seen also in MRI are preferred. In the implantation of markers we use a BK Medical Urological US probe type 8808 with UA 1257 puncture attachment and UC 5298 needle guide. Secondly we ask for an offer of suitable fiducial markers to be used in lung and soft tissue radiotherapy treatments for a small amount of patients. Tender can include markers either for both of these two purposes or either of them. The agreement will be made for two years with the possibility for two (2) additional optional years, one year each. Total contract duration 2+1+1 years. HUS decides if optional years will be used. The demands for the product and the offer are: •Implanting must be possible with our equipment. •The product has to be CE marked. •They must come sterile ready to use and preloaded in needles. Preferably one package should contain 3 needles or respective other marker (wire). Also provide the price for needles when they are individually packed. • Delivery time after an order must be less than 2 weeks. •We want to test various products for prostate in 3 patients (see below item “feasibility”). Final decision will be made after the test. •Description of the material and dimensions of the product must be included. Include prices for smaller and bigger seeds. •Data about the visibility in ultrasound, kV, MRI and CT must be included. •Provide data on how the markers are implanted with instructions either in Finnish or English •Provide information about the reference customers of the product and sites used. The offer for prostate markers can be based on quantities calculated for 40 patients per month and 3 markers per patient. Consider that occasionally packages with one needle are needed (5 patients /month). Tender for lung and soft tissue can be based on 5 patients /month. The tenders fulfilling the above mentioned demands shall be compared applying the following overall financial assessment criteria: The highest score for each of these two categories can be 10 points in total and consists of three components: 1. Costs of the purchase •Total costs, 5 points •The cheapest total costs for 2 years, will be given full score and others proportional to that. Cost calculation is based on marker price of 960 prostate patients´ implantations and 120 soft tissue implantations. 2. Feasibility •3 points and is evaluated by the user after having been used in 3 patients •Visibility in imaging is evaluated by the attached samples and test use in patients, the best one scores 0,25 points of each imaging (US, kV, CT, MRI). In case of equal visibility both gain. •Experience of implanting by patient. If some type is regarded inconvenient or painful it will give 0 points. Otherwise 1 point is given. •Experience of implanting by doctor. If some type is regarded inconvenient in use, it will give 0 points – otherwise 1 point is given. 3. Delivery •Delivery time 2 points •The shortest guaranteed delivery time, starting from order by e-mail from hospital until the product arrives to hospital, will have maximum points and others proportional to that. One supplier will be chosen to category “fiducial markers (seeds and/or wires) to be used in prostate and pelvic areas” and One Supplier will be chosen to category “Fiducial markes for lung and soft tissue radiotherapy treatments” Both categories will be assessed with the same criteria.
