The aim is to implement a user-friendly internet-based booking system which can carry out booking, lending, returns and provide the basis for invoicing using automated processes, so that the business area for pool vehicles can be managed with minimal resource usage. The plan is to install the system operating 750 pool vehicles and, in the long term, to an upper limit of 1 700 pool vehicles. Pool vehicles include passenger cars, goods vans and heavier vehicles. At the moment the following vehicles are among the pool vehicles used: VW Golf, Passat and van T3/T4, Mercedes Vito and Peugeot 307, 308 and 407.
Civil booking system already in use (tried and tested) shall be identified and procured to provide booking, lending, returns and invoicing for individual pool vehicles. The booking system should be implemented with minimum adjustment in relation to a standard industry solution.
The booking system should generate data to support an effective fleet management, order procedures, fleet utilization etc.
Physical delivery: Equipment shall be supplied to provide each pool vehicle with online contact to a booking system permitting administration of each individual vehicle registered in the booking system. The electronic car share equipment shall be rented from the supplier. Thus, the Danish Defence does not want to own these electronic car share equipments.
Service delivery: An online booking functionality must be made available, including hotline services for booking system users, hereto also administrative users.
